The Estates Office is a boutique Land Management Company and Chartered Surveying Practice. As part of the small but specialised team you will be exposed to a wide variety of tasks, clients and properties within Argyll and the Islands.
As PA/Office Manager you will be supporting our team of professionals, managing and running the office and undertaking administrative duties.
This job description will provide an overview of the type of work we expect you to be completing, however there may be other matters you will be involved in and you have the opportunity to develop the role.
· Answering telephone and general email enquiries
· Organising calendars, arranging meetings
· Making travel and accommodation arrangements when required.
· Assisting and ensuring that all legal paperwork / matters are undertaken both by The Estates Office but also client’s property.
· Assisting with preparing properties for Letting and Sales.
· Assisting with chasing any maintenance or repairs to completion.
· Assisting with organising planned maintenance and repairs.
· Managing contractor’s database
· Rent collection and monitoring arrears
· Creating invoices on behalf of client’s businesses (Boatyard etc)
· Assisting with completing annual budgets and work
· Assisting with undertaking viewings of property (sales & lettings)
· Monitoring self-catering bookings
· General office administration
· Typing for Sophie Handley
· Making purchases for The Estates Office but also the clients (online and local)
· Stationary orders for the office
· Filing and organisation at the office and file store.
· Assisting in preparing for and assisting at events such as Argyllshire Gathering etc.
· Organising Post
· Local deliveries
